Localizing Microsoft Dynamics 365FO in Vietnam: Balancing VAS and the Global Template

When implementing or rolling out Microsoft Dynamics 365 Finance & Operations (D365FO) in Vietnam, businesses often need to address two requirements at once: maintaining the global ERP template while meeting local accounting, tax, e-invoicing, and reporting regulations. If localization is separated from the core system, operations and data reconciliation can become more complex.

TECHWORLD VAS Package was developed as an extension layer for D365FO to support Vietnamese business requirements while limiting modifications to standard Microsoft objects. The value of this approach lies in connecting local requirements to the shared ERP platform, rather than treating them as two separate systems.

Conceptual illustration of a global ERP system connected to financial, tax, and document processes in Vietnam.

Maintain global standards while supporting business requirements in Vietnam

The VAS package focuses on common requirements in financial operations in Vietnam: chart of accounts and books, VAT, vouchers, statutory reporting, and e-invoicing processes. It is developed and maintained by TECHWORLD’s R&D Center in Vietnam.

Key perspective: Localization is more than adding forms. The approach needs to preserve management under the global template while enabling users in Vietnam to work with data and documents suited to local business requirements.

Limit changes to the core

The non-invasive design does not modify standard Microsoft objects, helping protect the architecture and global template.

Configuration-first approach

VAS behavior is controlled primarily through parameters and configuration, reducing reliance on disconnected customizations.

Support traceability

Entries and counterpart accounts can be traced to support reconciliation and auditing.

Designed for long-term operations

The solution package is designed for multi-entity models and supports Vietnamese, English, or bilingual use, alongside plans to maintain compatibility with platform and regulatory changes.

What does VAS coverage in D365FO include?

The scope combines standard D365 functionality, configuration, and VAS extensions. The specific allocation depends on each business’s processes, data, and requirements.

  • General ledger and reporting: chart of accounts, counterpart account analysis, period-end closing, general ledger, and VAS financial statements.
  • VAT and e-invoicing: input and output tax setup; invoice data validation; support for issuing, replacing, adjusting, and canceling invoices; and processing logs.
  • AR, AP, and cash: receipts, payments, debit and credit notes, payment transactions, and invoice-related items.
  • Fixed assets and inventory: asset cards, transactions, and depreciation; inventory cards, physical and financial inventory, and receipt and issue documents.
  • Operational reporting: accounting books, VAT reports, receivables and payables by account and currency, and branch reports by financial dimensions.

The catalog is documented in the VAS package user guide. Accounting users can work in D365FO and issue documents and reports in Vietnamese or bilingually, rather than maintaining a separate local accounting system.

E-invoicing: confirm the integration before finalizing the design

The integration flow is described as sending data from D365FO to the e-invoicing provider, receiving the invoice number, and updating the transaction status. Supported processes include issuing, replacing, adjusting, and canceling invoices. The system also stores logs, processing statuses, and response information for traceability.

The current provider, API, authentication method, XML or JSON format, and required fields need to be confirmed during the discovery phase before the integration design is agreed.

This is an important step for clarifying the connection scope and data to be exchanged, rather than assuming all providers use the same method.

Phased implementation, from fit-gap to handover

TECHWORLD proposes an implementation approach with clear control points, suited to both new projects and rollouts based on a global template.

1. Preparation and design

Review the template, VAS and tax requirements, fit-gap, data, and chart of accounts; agree on scope and risks.

2. Configuration and development

Deploy the package, configure VAS/VAT and related modules, address process gaps, and perform unit testing.

3. Testing

Conduct unit, end-to-end, and UAT testing with key users; manage test scenarios and issues.

4. Training and go-live

Provide role-based training in Vietnamese, prepare for cutover, deploy to production, and support go-live.

5. Hypercare and handover

Receive and categorize issues, track their resolution, and hand over the operating model and post-project support.

Project governance, as described in the source documentation, includes a Project Manager point of contact, weekly status reports, a risk register, and Go/No-Go gates before moving to the next phase.

What to clarify before getting started

Global model and entities

Determine the template, number of entities and branches, and how the chart of accounts and financial dimensions are organized.

Processes and reporting

Review VAT, documents, books, reporting, asset and inventory processes, and bilingual requirements.

Data and integration

Agree on the data to migrate, e-invoicing provider, API, authentication, and exchange formats.

Testing and operations

Select key users and define acceptance criteria, training approach, and the post-go-live support model.

A localization layer that evolves with the system

The effectiveness of VAS in D365FO depends on more than the list of features. Configuration, integration, testing, user guidance, and update planning all need to be considered as part of the same implementation picture. TECHWORLD combines D365 expertise with a VAS package developed by its R&D team in Vietnam, aiming for a system that supports local business requirements while aligning with the company’s long-term ERP direction.
